About the client

YouLi is a comprehensive, SaaS-based group travel management platform designed for tour operators, travel agents, and retreat leaders to manage multi-day trips. It streamlines booking, payments, and itinerary planning in one place, featuring traveler portals, automated reminders, and customizable, white-label, mobile-friendly trip pages.

The client brief

YouLi needed a blog article that educated their target audience (tour operators and travel planners) on how to use their task management feature effectively. The goal was to drive product adoption by making the feature feel approachable and practical, using real client examples to illustrate its value. The article also needed to address common objections and questions that potential users might have before committing to the platform.

My approach & solution

I structured the article around a problem-solution narrative, opening with a relatable pain point before introducing YouLi’s task feature as the fix. To build credibility and help readers envision real-world applications, I wove in four concrete client case studies that showcased the feature’s versatility across different trip types. I kept the tone warm and conversational to reflect YouLi’s brand voice, while an FAQ section at the end proactively handled objections and reduced friction for readers on the fence.

The result

The finished article serves as both an educational resource and a soft sales tool, guiding prospective customers through the feature’s benefits without feeling like a hard pitch. By grounding abstract software functionality in real traveler scenarios, the piece makes a compelling case for adoption in a way that resonates with the target audience’s day-to-day challenges.

This piece showcases my ability to translate technical SaaS features into clear, benefit-led copy for a non-technical audience. How to automate tasks and manage waivers in YouLi’s tour operator software

Are you tired of sending PDF’s, waivers, and travel itineraries back and forth to your clients and team members? Back in 2016, when I was planning my epic destination wedding to Jordan, I was faced with the same issue. What are tasks?

Tasks are features that are easy to set up, help itinerary creators save time by cutting back on the admin work and provide a much better customer experience. Unlike the tasks on your ever-growing to-do list, this feature significantly reduces the amount of work you need to put in since it automates your tasks for you.

Best practice #1: Desert Island Survival

One of our clients, Desert Island Survival, switched over to YouLi when they experienced the seamlessness of our tour management software. On one of their trips, they had a vegan customer, but this detail fell through the cracks during the pre-trip preparation. The itinerary creator forgot to ask about the travelers’ dietary requirements so there wasn’t enough vegan food for this person on the trip. Mistakes like these can be easily avoided with a user-friendly tool like YouLi’s task system.

Especially for adventurous trips, your travelers must be well-prepared. By having them go through the tasks and documentation that is gathered in YouLi’s tour management software, you not only make sure they have the right insurance and coral reef-safe sunscreen, but your company’s liability is also covered.

Best practice #2: Rare Air Travel

For Rare Air Travel’s trip to Bhutan, the staff decided to assign six tasks to their travelers, as you can see in the image below. By setting up similar tasks, customers can easily book flights through you, take out travel insurance with your affiliate link, and so on. On top of that, they can upload all the required documentation onto the platform for you to review. This again, protects you as the tour operator, since you now have a copy of all your travelers’ documentation gathered and stored in one place.

Best practice #3: Run Wild Retreats

Tasks can look very different for different kinds of trips. Our client Run Wild Retreats decided to add a ‘Pledge to run mindfully and sustainably’ to their task system. This pledge reminds travelers to be conscious of the environment and turn off their GPS watch’s and phone’s audible sounds, among other things. The fun thing about these forms is that they’re 100% customizable, so you can make them accessible and pleasant to read with emojis, and break longer pieces of text up into short paragraphs. Feel free to add links to your task system as well!

Best practice #4: Best Life Adventures

Our client Best Life Adventures decided to go with two tasks only, though our bet is they will gradually add more tasks to the system as the departure date approaches. At YouLi, we focus on getting you launched, but after that, you take the lead on how many tasks you add to your system and when you notify your travelers about new tasks.

FAQs

FAQ #1: Won’t my travelers feel overwhelmed by the number of tasks they need to complete?

Answer: There’s no need for your customers to complete all the tasks in one go. You can set due dates and hide the tasks that are not urgent (yet). YouLi sends automated reminders to your travelers when it’s time for them to move on to the next task on the list. If two tasks are due on the same date, our software only sends your customers one reminder to come to the trip page and complete the pending tasks.

FAQ #2: What if one of my travelers has unique circumstances?

Answer: YouLi’s got you covered! Head over to the planner to assign certain tasks to specific individuals only. This feature comes in handy if a traveler has special visa requirements that the others don’t, for example.

FAQ #3: Do the automated reminders my clients receive in their inbox come from YouLi or from me?

Answer: By default, the automated reminders come from a YouLi mailbox. However, we do offer white-labeled emails as an add-on. When the customer replies to the email, it will automatically go back to you as the planner. The email reminders consist of your company logo, the itinerary, and a fun teaser to get your travelers excited about their trip. Obviously, you also want to prompt them with whatever task is due next, as you can see in the image below.

Travelers simply click the button to head over to the trip page and complete their tasks, but for those that require extra assistance, we like to embed a video that gives them step-by-step explanations on how to complete their tasks.

FAQ #4: What does ‘pending review’ mean?

Answer: Glad you asked! Let’s say your customer wants to book extra nights, then they can notify you through the trip page so you can process it. Basically, tasks that are labeled with ‘pending review’ are tasks within tasks. Your client needs to agree to them first before you can get to work.

FAQ #5: Can travelers complete tasks on the go?

Answer: Of course! The YouLi task system is mobile responsive, so there’s no need to download the app. However, our experience tells us that most people prefer to use the app, since it allows them to access their documents and itinerary information offline. This is great during flights and in case your travelers are worried about not having signal in the middle of the desert or Bhutan.
